Description

The Town of Milton is requesting proposals for completion of the audio-visual setup in the Town Meeting room. Overview: The Town of Milton is seeking quotes to complete the setup of the Meeting Room at 503 Geyser Road, Ballston Spa, NY 12020. The Room will need to be able to host Zoom meetings as well as presentations and training. The Meeting Room is approximately 34ft x 40ft in size. Presently, the Town has the following functional elements that are in good working order that it will see to reuse for the project. - Three(3) large 4K displays mounted and powered within the meeting room - Six (6)Shure MX-Series MX41xD/C gooseneck microphone with XLR outputs connected to an old mixing board and amp (the mixing board and amp are NOT to be reused) The Town expects the vendor to create an environment where a single master control can be utilized to easily engage in Zoom meetings and presentations which will benefit all who attend, whether in person or remotely Requirements: The Town requires a system that provides the following (at a minimum): - One (1) 4K 8x8 HDMI 2.0 video matrix with eight (8) 4K HDMI outputs and eight (8) 4K HDMI outputs. Must be controllable via ethernet. - One (1) digital matrix audio processor with 4 inputs x 2 outputs, 150watts (or greater) x 2 at 70V. It must be controllable via ethernet, be DSP based with features such as (but not limited to) cross-point missing, pre-mix level control and filtering. - Nine (9) 4.5-6.5in speakers to be able to provide sufficient audio coverage for the space described. - One (1) microphone auto-mixer with 16 line-in inputs for microphones (capable of providing phantom power), 2 line-out for outputs and one (1) 2x2 (send/receive) USB audio interface. Further, this unit must come with a non-expiring license for AEC across ALL audio inputs. This DSP based auto-mixer must have two (2) single pole/single throw relays with up-to 24 VDC switching for future use. Must be controllable via ethernet. - One (1) PC with 2 HDMI outputs with 2 HDMI outputs, 4 USB inputs, 16GB RAM, 256GB SSD and intel Core i5 4-core 10th generation (T) (or higher) desktop CPU that meets or exceeds the current specifications to support Zoom Rooms System Requirements as published by Zoom on April 5, 2022. Must have at least one (1) 1Gbps ethernet port. - One (1) PTZ camera (to be used with Zoom Room PC)to be mounted mid-room. Camera mist have an optical zoom of 30x and 12x digital zoom. A capture device must be included with the camera so as to be able to interconnect it to Zoom PC described above It must include ac ceiling mount for the camera and the camera must support VISCA protocol for control via ethernet. - Three (3) Shure MX-series MX418D/C gooseneck microphones with XLR output - One (1) Shure SLXD24D/B58 dual wireless microphones with receiver. A microphone holder able to accommodate the B58 to be supplied and installed at podium. - One (1) Shure charging station with two (2) batteries for the two (2) B58 microphones listed above. - One (1) Shure wireless antenna kit (compete) to allow the B58 microphones to be used in the meeting room while the received is mounted in the IT Room. This kit should include a combination of the following Shure parts UA834, UA8-518-574 and UABIAST components. - Two (2)HDMI 2.0 inputs will be provided - One (1) at the dais and one (1) at the podium in front of the dais. - One (1) AV control system with a touchscreen for controlling the equipment being provided. It must be capable of the following: muting microphones, adjusting audio volume (up & down), controlling camera position, view upcoming Zoom meetings, initiating Zoom meetings by interacting with the Zoom Room PC, control the input/output of 4K HDMI video matrix, control the audio matrix, setup camera presets, via ethernet. Unit must be able to be powered and interconnected with other rack equipment via a PoE connection. - One (1) 8-port (or greater) Gigabit PoE+ Ethernet rackmount ethernet switch with rack ears. - One (1) device agnostic solution allowing internal & guest users cast to screens WITHOUT dongles. This solution must work with native casting so app downloads for guests aren't needed for screen sharing. The ability to share from mobile device without download. The ability to share from one device to multiple screens simultaneously. Must support Miracast, Airplay & GoogleCast. - Power protection (including surge suppression) for all equipment requiring AC power must be provided and installed. Other Information: The existing six (6) Shure MX-series goosenecks will be installed at dais at head of room, the three (3) new MX-series will be installed as follows: - One (1) at Dais - Two (2) on desks located behind the dais Please provide a informal sketch of the entire area with all parts listed and with the placement of the new equipment including the TV, dais, desks & door locations shown with the quote. A formal "as built" is required at completion of the project. Additional Requirements: 1- All materials must be supplies as new (refurbished, factory seconds etc. are not acceptable) 2- It is the responsibility of the vendor to supply and install all cabling needed to interconnect the PTZ camera, the 3 displays, speakers, video matrix, audio matrix, microphones (wired and wireless) and Zoom Room PC together to create a fully functional environment. All cables will be run within the walls and/or drop ceiling 5- All data cabling will be Category 6 or greater. All speaker cable will be 14/2. 6- All equipment requiring power will need to be installed in the IT Room on the lower level of 503 Geyser Road, in our existing rack. The IT Room is directly below the meeting room. 7- The Town will provide license for Zoom Room and vendor will be responsible for installing and configuring Zoom Room software on Windows PC (described above). 8- All three (3) room displays must connect to the video matrix listed to receive data for display
