Description

The City of Ontario is seeking bids for Roadway Sign materials for FY 23/24. Products will be requested on an as needed basis throughout the remainder of our current fiscal year. In the event that the supplier is unable to hold pricing for the project duration stated, please provide the duration for which you will be able to hold pricing. All items can be substituted with an "or equals" or "compatible" product. If bidding on "or equals" or "All items can be substituted with an "or equals" or "compatible" product. If bidding on "or equals" or "compatible" product(s) bidder(s) MUST provide specification sheets for all "or equal" or "compatible" along with the completed Non-Collusion Declaration Form as a "General Attachment" in the "Attachments" tab. Q&A Deadline 04/06/2023 3:00 PM (PDT) The bidder is solely responsible for "on time" submission of their electronic bid. The City will only consider bids that have been transmitted successfully and have been issued an ebid confirmation number with a time stamp from the Bid Management System indicating that bid was submitted successfully. Transmission of bids by any other means will not be accepted. Bidder shall be solely responsible for informing itself with respect to the proper utilization of the bid management system, for ensuring the capability of their computer system to upload the required documents, and for the stability of their internet service. Failure of the bidder to successfully submit an electronic bid shall be at the bidder's sole risk and no relief will be given for late and/or improperly submitted bids. It is the bidder's responsibility to become familiar with the contract documents in their entirety. All forms in the bid booklet must be properly completed to be deemed responsive. The City reserves the right to order more, less, or no items at the "per unit cost" stated in the bid proposal. The City reserves the right to award its total requirements to one bidder, or to apportion those requirements among several Bidders as the City may deem to be in its best interests. Questions sent directly to City Staff will not be addressed and you will be directed to submit your question(s) online. Quantities listed are annual estimates only and not indicative of a guaranteed level of usage. Any items not listed on this bid shall be purchased at equivalent category discount. Although price is a factor in selection of supplier(s), award may not be made strictly on the basis of low bid. The City reserves the right to waive any immaterial irregularity in any bid if it is determined to be in the best interest of the City to do so. The City has established a local preference to vendors located within the City limits of Ontario a 1 3/4% advantage in the City's determination of low bid, and a 3/4% advantage of vendors outside the City but within the County of San Bernardino.
