Description

Texas A&M AgriLife Extension is seeking bids for the purchase of equipment and installation services for a meeting room upgrade. Bidders shall offer a unit price response for each line item in this bid. Please read the terms and conditions carefully. These supersede any other terms and conditions issued by the bidder. GOVERNING LAW: Any contract resulting from this bid solicitation shall be construed and governed by the laws of the State of Texas. PAYMENT TERMS: Net 30 days upon successful installation and acceptance by the agency or receipt of correct invoice, whichever is later. SHIPPING TERMS: F.O.B. Destination to College Station, TX 77845 DELIVERY: Any bid submitted should include estimated delivery time for the item(s) being offered. QUESTIONS DEADLINE: Any/all questions should be addressed in writing to Lainey Calder via the Q&A Board for this invitation to bid or email at lainey.calder@ag.tamu.edu. All questions must be received on or before Tuesday, August 2nd, 2022 at 3:00 p.m., central time. When deemed appropriate by the Agency, questions will be answered by bid addendum. SPECIFICATIONS: The specifications for the named items have been reviewed and meet or exceed the required specifications in this invitation for bid. However, specifications and/or brand names given are meant to be descriptive rather than restrictive. Other manufacturer's equivalents will be considered. Technical literature and/or manufacturer's part numbers should be included with the vendor's completed bid. The agency will determine if the equipment offered is equal to that specified and will meet our needs. The agency's decision will be final. INSTALLATION: All installation shall be performed by a single vendor. The requested equipment is to be supplied as a complete operational system, set-up and ready for use. Any/all operational/maintenance manuals are to be provided at the time of the shipping/installation. This project shall be considered a "turnkey" project that includes all aspects of the installation. The vendor shall have access to the premises for the purpose of delivering equipment and performing the work necessary to fulfill any resulting purchase order. They shall cooperate with the Agency's personnel who may currently be working on the premises, integrating their work with that of the Agency, all to the best interest of the total job and its orderly completion. It is understood that all equipment and materials supplied by the vendor shall remain their property until such time as accepted or paid for by the Agency. The vendor shall protect them with appropriate insurance against theft or other loss or damage. The vendor shall be responsible for damage to the Agency's equipment and/or the workplace and its contents by its work, negligence in work, its personnel and equipment. The vendor shall be responsible and liable for the safety, injury, and health of its working personnel while performing installation/service work. WARRANTY: Any bid submitted should include complete warranty information for the item(s) being offered. AWARD BASED ON BEST VALUE: Texas A&M AgriLife Extension reserves the right to accept or reject any or all bids, to waive informalities and technicalities, to accept the offer considered most advantageous and award the bid based on best value criteria. In determining what is the best value to the Agency, the Agency shall consider any or all of the following: Purchase price The reputation of the vendor and the vendor's goods or services. The quality of the vendor's goods or services. The extent to which the goods or services meet the agency's needs. The vendor's past relationship with the Agency.
