Description

Questions Deadline 12/06/23 3:00 PM ET Questions Response Approximately 12/13/23 Prospective Bidders will have an opportunity to submit written questions and requests for clarification regarding this Invitation for Bids (IFB). All questions regarding this IFB must be submitted via e-mail or mail and be received by the date and time specified in the IFB Timeline. Questions must reference the relevant page and section of the IFB and must be directed to the designated contact. Scope of Work The project is defined by this IFB. A general description of the primary work elements is listed below for reference, including but not limited to: o Contractor shall review and design the final construction method of the kiosks o Procure required AV hardware and coordinate with OPRHP's Media Developer and OPRHP for the delivery of the AV hardware for testing and programming as well as installation of hardware features into the custom cabinet. o Fabricate a full-scale prototype of the Kiosk for OPRHP's review and approval o Deliver and Install Kiosks to the identified OPRHP locations as listed in Section 2.1.4 within the required timeframe. 2.1.1 Shop Drawings As part of the preparation of the shop drawings, Contractor shall review, design and submit to OPRHP for approval, final shop drawings. The Shop Drawings shall demonstrate the final construction methods to achieve maximum longevity and improved efficiency of installation whilst retaining aesthetic and operational principals as illustrated in Exhibit 1 - Kiosk Design appended to this IFB All final shop drawings must have an engineering stamp from an engineer licensed in New York State before being approved by OPRHP for fabrication. o Include plans, elevations, sections and large-scale details of all operational aspects. o Show fabrication and installation details, including but not limited to all components such as extrusions, brackets, bracing, hardware, internal framing, structural supports. 2.1.2 AV Hardware Contractor shall submit to OPRHP for review and approval a comprehensive list of the AV Hardware and accessories proposed (Section 2.2.4) within the timetable identified in the IFB. The AV Hardware and accessories shall be the items identified in the IFB or as equal. Upon OPRHP approval of the AV Hardware and accessories, Contractor will work directly with OPRHP's Media Developer and be responsible for the procurement and delivery of the touchscreens, computers, nav pads and speakers to the Media Developer located in Boston, Massachusetts, for programming and testing. OPRHP's Media Developer will return the identified hardware to the Contractor once programming and testing is complete for the Contractor to install into the Kiosks. The Contractor is responsible for all shipping costs to and from the Media Developer. All AV Hardware items must be shipped insured. The Contractor must retain one complete set of the AV Equipment for aesthetic and compatibility demonstration of the Prototype/Mock-up of the Kiosk as described in Section 2.1.3. Once the Prototype/Mock-up of the Kiosk is approved by OPRHP, the remaining AV equipment can be shipped to the Media Developer for programming and testing. 2.1.3 Prototype/Mock-up of Kiosk Fabricate a full-scale prototype for kiosk component types showing access provision, finish, hardware, power, lighting, data provision assembly details and integration of all graphic panel types. 1. The Contractor is responsible for prototyping the Kiosk for testing of mechanisms and outcomes. This should be confirmed prior to fabrication. 2. In order to test the Exhibit performance and review all design details, the prototype must be built to full-scale as demonstrated in Exhibit 1; if such a prototype is approved, it may be incorporated into the final exhibit as long as it is indistinguishable from the remaining production run of Exhibit components in both aesthetic and operational capacities. 3. Contractor shall not proceed with fabrication of the component in question until the prototype is accepted based on its overall quality, function and appearance by the OPRHP's Representatives for: a. Proper functioning of exhibit including all mechanisms/controls b. Integration of AV hardware and graphics c. Safe and proper functioning of all electrical elements and systems d. Exhibit durability 4. Contractor shall devise a timetable for fabrication and submittal of prototype so that a submittal and review process of reasonable duration shall have no adverse effect on the project schedule located in Section 2.3. Adequate time for testing and adjustments must be built into the fabrication and installation schedule. 2.1.4 Installation and Delivery Contractor will be responsible for the coordination and scheduling with OPRHP and its representatives for the delivery and installation of the Kiosks at the locations identified below. Contractor is responsible for the installation and assembly at each location which includes but is not limited to providing the assembly and installation guides and ensuring delivery and installation to the manufacturer's specifications. All installation locations have been selected and electrical outlets will be installed by OPRHP to power the kiosks prior to the installation. The locations are as listed: 1.
