Description

This proposal shall result in a service contract. Although we are legally required to accept paper proposals, we strongly request that proposers submit this RFP electronically. No faxed or e-mailed submissions shall be accepted. Please feel free to call us if you require any assistance with this submittal. Electronic bidding will eliminate errors, eliminate unnecessary work, and is more friendly to the environment. Your cooperation is appreciated. PURPOSE: The purpose of this Request for Proposal is to establish a multiple award contract for the purchase, installation and repair of public address system equipment, including time clocks and bells, for Plano Independent School District (the District). The purchase of repair parts and service will be on an "AS NEEDED" basis. The District has a wide variety of systems, including Bogen, Dukane, ETC, Edwards Signaling, Lathem, Rauland-Borg, Simplex and Teletouch. The majority of the District's clocks are analog, however the newer schools are being equipped with digital clocks. Additional brands of time clocks within the District are American Time, MidWest Time Control, Sapling and Telecor. Vendors that sell replacement clocks are encouraged to respond to Line Item #6 for discount-off catalog items. All service work will be performed in accordance with all applicable manufacturer's suggested practices as well as all Federal, State and local laws. ANNUAL EXPENDITURE: The estimated expenditure for this contract is approximately $425,000 per year. However, this estimate should not be construed to be a guarantee of either minimum or maximum since usage is dependent upon actual needs and available funding. This estimate may be exceeded by 25% annually. TERM: This RFP will be firm for two (2) year from date of award, with the option to be renewed for three (3) additional years, in one (1) year increments, provided all prices remain firm and both parties agree. The words "bids, proposals, competitive sealed proposal, quotes" and their derivatives may be used interchangeably in these terms and conditions. These terms and conditions are applicable on all bids, requests for proposals, quotes, competitive sealed proposals, etc. to which they are attached.
