Upgrade to Existing Video/Audio Distribution System

The Town of Trumbull, Connecticut (hereinafter referred to as Town), through the Office of the Purchasing Agent is seeking proposals for Long Hill Assembly Room to upgrade existing Video/Audio distribution system for Trumbull Board of Education in accordance with the enclosed specifications. a) The Town reserves the right to reject any or all bids and to waive any requirements, irregularities, technical defects or service therein when it is deemed to be in the best interest of the Town. b) If your proposal does not meet or better the required specifications on all points that must be outlined in a letter otherwise it will be presumed that a proposal is in accordance with the required specifications. All inquiries regarding this request shall be answered up to the close of business on June 30, 2022, after which time no additional questions will be accepted. Scope of work The Town of Trumbull is looking for a turnkey upgrade to the Video/Audio distribution system. The upgrade will consist of replacing a 4 Camera Video Recording system at the Trumbull Board of Education "Assembly Room" The replacement system must have the following capabilities. All recorded content must be able to streamed real time to multiple platforms, i.e. Facebook, YouTube, etc. All camera controls, including zoom, camera selection and Audio shall be performed from the "recording room". A joystick type control unit will also be used. Vendor must provide interface for existing microphones, (16) Goose neck microphones. Install and configure 2 additional monitors in the Assembly room for audience viewing. All cables for Video and Audio control shall be terminated in the recording room and labeled. Additional Information o Install new video production switcher and 4 cameras (provide cabling to 5th camera Location in back of room) o Install new audio mixer/processor, including touchscreen control. Interface with existing microphones o Provide 2-way conferencing system and streaming capability, integrated with video production switcher. Install 2 additional displays in room for board/audience monitoring of content o Displays to be 65" and 50" and include articulating mounts o Setup 4 camera sources to video switcher inputs & multiview/touchscreen outputs o Install control touchscreen (location TBD) program for basic operation/startup/control system o Setup joystick for camera control and POE switch for camera power o POE switch to be provided by Trumbull Schools o Integrate and program system to work with existing/remaining equipment o Existing equipment includes, but may not be limited to: mics, amps, speakers, projector/screen o Integrate & connect Epiphan Pearl switcher/streamer with other units in other buildings within the district o Test, certify & commission system to specifications o Provide training to staff and operators o List any value-added services if applicable
