Description | This contract is not a low-bid price competition. It is our intent to evaluate all Proposals received and to award the Agreement in full to one service Contractor for the term indicated. However, the district reserves the right to award in whole or in part if in their best interest. Selection of the approved contractor will be based on conformance to the specifications as well as value to the school district. The Palos Verdes Peninsula Unified School District reserves the right to reject any and all bids, to accept or reject any one or more items of a bid or to waive any irregularities or informalities in the bids or in the bidding. No bidder may withdraw his/her bid for ninety (90) days after the date set for the opening of bids. In the event of identical bids, the Governing Board may determine by lot which bid shall be accepted per Public Contract Code 20117. Palos Verdes Peninsula Unified School District (herein referred to as "PVPUSD") is a public K-12 schoolsystem with sixteen (16) K-12 schools currently operational. PVPUSD also has two (2) Pre-School Early Learning Academies for students ages 2-4. There are approximately 10,000 students and 1400 employees in the district. PVPUSD will record and provide answers to questions or requests for clarifying information about this RFP. Any questions regarding this Request for Proposals (RFP) should be directed in writing, via email no later than 11:00 a.m. PST on Thursday, March 16, 2023, to all of the following: James Fahey faheyj@pvpusd.net Rocky Deremiah deremiahr@pvpusd.net Cindy Snyder snyderc@pvpusd.net The PA system will consist of both internal and external notification speakers, related equipment, wiring and operating software for an integrated, turnkey, functional system. The proposed system should include the following functions: o Upgrade existing PA system to a hybrid system with an IP based controller, along with required gateways or interfaces to allow all working analog speakers to be reused. Remove and save old controller. Return old controller to PVPUSD. o Installation of 12 new IP based outdoor speakers and all related equipment, cables to new areas as shown in additional specification documents (provide zone controllers /amps as needed). o Installation of a new amplifier to drive the existing exterior loudspeakers. o Inclusion of a new UPS for backup power to the system (Approximately 500 minutes of run time when system is idle) o The system must be scalable and have features and quality as equivalent as or better than major brands such as Rauland, Bogan, Telcor, and etc. o Ability to program and support multiple zones by a building staff member. o Ability to synchronize the bell schedule with the clock system where applicable. o Ability to program and support multiple bell schedules by a building staff member. o Ability to make announcements from district VoIP phones. o Provide and install backup display Control Console to be located in the Main Offices. o Provide and install a desktop microphone, to be installed in the Main Office (for instant all calls). o The system must be compatible to interface with the District's existing VoIP telephone system via a FXS Analog handoff. o Ability to play wav or mp3 files to the bell system. o The system must provide a means of broadcasting voice messages and bell tones to all locations equipped with speakers (All Call) and to be able to select certain zone(s) or room(s). o The system should be capable ofsending callsto two-way speakersto select rooms(ifso equipped). o Provide and install a perpetual licensed controller software on District-provided server to be accessed, managed, maintained and controlled by selected District Staff and preferably with a web accessible GUI. o The Vendor will test all equipment and train building administrators and secretarial staff on its use. o Vendor should provide their own pathway. o Equipment should be installed in the MDF or IDF rooms as needed. o Utilize existing cabling/speaker infrastructure for this project but bring to the Technology Director any existing problems with cabling/speaker infrastructure for option to address. o Vendor shall provide District with a complete list of zones and locations. o Vendor shall provide warranty and support details. PVPUSD anticipates awarding this contract in the month of April 2023 |
